Estes River Retreat – Rental Terms & Agreement

We’re honored to host you at Estes River Retreat. Please review the following reservation and rental policies before booking your stay. If you have any questions, don’t hesitate to call us at 970-586-6597.

Minimum Night Stay

Rates & Payment

  • All rates are per night and subject to 14.2% Estes Park lodging tax
  • A $150 final cleaning fee is required per stay
  • A 50% deposit is due at the time of booking
  • The remaining balance is due 30 days before arrival
  • We will contact you to process the second payment

Payment Methods:
We accept Visa, MasterCard, and Discover. Please note that charges will appear as “Elements of Touch” on your credit card statement.

Check-In & Check-Out

  • Check-in: 3:00 PM
  • Check-out: 11:00 AM
  • Late check-out: Available until 2:00 PM for a $20 fee (must be arranged in advance)

During high season, early check-ins may not be available due to enhanced cleaning and sanitation protocols. Thank you for your understanding.

Cleaning & Damage Policy

  • A $150 cleaning fee is applied to all stays
  • Guests are expected to leave the home tidy and in good condition
  • Damages will be charged to your credit card
  • If any item is damaged or broken, please notify us before departure
  • You’ll receive a written notice and inventory list for any charges applied

Cancellation Policy

  • A 50% deposit is required at time of booking
  • If booking is more than 30 days out, cancellations are eligible for a refund minus a $50 processing fee, issued by check
  • Cancellations within 30 days of arrival forfeit the deposit; the remainder (if paid) will be refunded by check minus a $50 processing fee

Utilities

All standard utilities are included with your stay.

Pets

No pets are allowed on the property (except for certified service animals).
A highly rated animal hospital and boarding facility is located 2 minutes away:

Smoking Policy

  • No smoking, cigars, or pipes are permitted indoors
  • Odorless vaping is allowed
  • Smoking outside must be done with extreme caution due to wildfire risk—do not leave cigarette butts on the property
  • A $200 fine will be charged if there is evidence of indoor smoking

Guests, Gatherings & Noise

  • Maximum occupancy: 6 guests
  • No parties or loud gatherings
  • Quiet hours must be respected out of courtesy to neighbors and the on-site wellness spa
  • The spa operates from 9 AM to 5 PM, by appt Monday through Saturday

River Safety & Liability

Our home is located on the river. Please be aware of the potential hazards, especially during spring runoff when water levels are high.

  • Children under 15 must be supervised at all times
  • Owners are not liable for accidents or injuries related to the river

Tenant Responsibilities

Guests agree to:

  • Treat the home and contents with care
  • Clean dishes and dispose of garbage
  • Lock all windows and doors when leaving
  • Report any damages or issues promptly

After-Hours Arrival

We offer self check-in via a digital door code. Your confirmation email will include access instructions and your unique code.

Breach of Agreement

Failure to follow these terms may result in immediate eviction and loss of all rental payments.

A detailed reservation confirmation email will be sent after booking, including your access code, check-in instructions, and all necessary stay details.
